Christian English School of Torino   –   Administrative Assistant

Job Summary:

An administrative minded person will be involved in assisting in the routine requirements for the ministry’s U.S. corporate entity and also stay in touch with the other servants who are fulfilling various volunteer responsibilities.  The administrative assistant will serve as a link between the various volunteers and the school in Italy.

 

Skills Required:

·       Social and administrative skills to track volunteers’ responsibilities and provide assistance when necessary;

·       Basic organization and writing skills necessary to assist the Board for the U.S. Ministry, such as send reminders and take notes during the meetings;

·       Basic computer skills for work processing and spreadsheets;

·       Ability to log and track basic financial transactions in a spreadsheet or perhaps using a financial software such as QuickBooks.

Job Description:

·        Provide routine contact with the various other volunteers in North America by writing periodic emails to determine their progress in achieving their goals and to determine if they have any problems or needs;

·       Make periodic deposits of checks into the U.S. ministry bank account and track the automatic transactions that are deposited or withdrawn from the account;

·       Provide periodic financial updates to the Board of the U.S. Ministry and take notes during the Board Meetings held one or twice per year;

·       Provide reminders to Board Members as to the dates for the upcoming Board meetings;

·       Work with other professionals or service providing entities in the overall management and legal responsibilities for the U.S. Ministry.

 

Estimated Time Required:

Using the assumption below, it is estimated that the Administrative Assistant will need to invest approximately 2 hours per week, or 10 hours per month.  However, there will be additional responsibilities on the one or two months of the year when the Board for the U.S. Ministry in meeting:

·       1.5 hours per week to deposit donation checks and track the financial transactions for the U.S. Ministry;

·       2 hours per month to track the progress and assist in the management of the other volunteers for the ministry;

·       2 hour per month doing other administrative; and

·       4 hours per month on the months when the Board for the U.S. Ministry is meeting.
